Job description: THE POSITION

Do you enjoy working in an office setting and providing customer service? Then join the Department of Conservation and Natural Resource’s Bald Eagle State Forest and provide clerical and office support within the District to ensure its operations are conducted efficiently and effectively.

This position is NOT eligible for telework.

DESCRIPTION OF WORK

Work Hours: (Mon – Friday) 8:00am – 4:00pm

This position serves as district timekeeper and examines timesheets for accuracy to assure proper employee pay input; calculates attendance hours, determines appropriate attendance codes, and enters information into CATs; calculates/enters correct hours to be paid for overtime, working out of class status and shift differential; verifies all time is coded to the correct funds in the SAP system; monitors OT / Wage / Regeneration / Fire / Stewardship / ATV and Snowmobile expenditures; determines and enters substitutions to individual employee schedules into SAP system; processes approved leave requests for employees without ESS access; enters holiday absence hours as appropriate; determines date for wage employees to begin leave without pay (LWOP) and their return from leave without pay (RLWOP), prepares letters of correspondence along with annual leave carryover request memos and mails to seasonal employees; generates SAP error reports to determine if time processing errors have occurred; enters each ranger schedule and AMIS information into SAP system for each pay period; maintains worked-holiday input into SAP system for each salary ranger; and codes overtime and comp time correctly and charges to the proper funds.

Duties also include acting as receptionist and initial contact for everyone who stops by or calls the office; opening, date stamping and distributing incoming mail; processing outgoing mail; preparing, proofreading and typing routine correspondence; issuing camping permits; collecting money and issuing permits for fuelwood, stone, and other non-forest timber products; preparing/submitting transmittals of revenue for all funds collected by the forest district; coordinating travel for employees; acting as District training coordinator; operating District’s radio system during spring/fall fire seasons, gypsy moth spray program, and other operations involving aircraft; assisting in the Lease Campsite Program by maintaining filing system and preparing correspondence; and reconciling monthly mileage/fuel reports and inputting data into Department Vehicle Management System (VMS) database.

Essential Functions:
1. Fluent in computer operations, which includes Microsoft software and other standard office equipment.
2. Communicates effectively with the public, representing the organization, its mission, policies, programs, rules, and regulations.
3. Ability to understand the laws, regulations, and policies of the Department and the Bureau.
4. Knowledge of District operations.
5. Fluent in SAP payroll operations.
6. Ability to prepare correspondence and reports, proofread printed material, and make grammatical and spelling corrections.
7. Ability to keep complete and accurate records of activities.
8. Ability to organize assigned tasks for efficient results.
